How to transfer unit ownership when a property is sold
Ownership Transfers
When a unit in your HOA is sold, the board records the transfer in Fourplex to remove the prior owner's access and onboard the new owner. This article explains how to initiate a transfer, what happens to each party, and how to view past transfers.
Who initiates a transfer?
Board members — typically the President or Secretary — initiate ownership transfers. Regular members cannot start a transfer on their own.
How to start a transfer
- Go to Members → Transfers and click New Transfer.
- Select the unit being sold from the list.
- Enter the transfer date (the actual sale or closing date).
- Enter the new owner's full name and email address.
- Click Confirm.
Once confirmed, Fourplex immediately:
- Marks the departing owner's unit membership as departed
- Removes any board role the departing owner held (they do not retain a position they were elected to for that unit)
- Sends an invite email to the new owner
What happens to the old owner?
After a transfer is confirmed, the departing owner loses access to the HOA in Fourplex. They are no longer listed in the active member directory. Their history remains in the system as "former owner" for record-keeping purposes, but they cannot log in and view HOA content for that unit.
What does the new owner receive?
The new owner receives an invite email at the address you entered. They click the link in the email, complete a short join form, and create their Fourplex account. Once they finish, they appear as an active member for that unit.
If the new owner does not receive the invite email, check that the address is correct and ask them to check spam. You can resend the invite from Members → Transfers.
What data carries over to the new owner?
HOA records tied to the unit (prior documents, dues history) remain in the system. The new owner starts with a clean dues balance — they do not inherit any unpaid balance from the prior owner. The board should resolve any outstanding dues with the departing owner before or at closing.
How do I view past transfers?
Go to Members → Transfers. The transfer history lists all past transfers with the unit number, departing owner, new owner, and transfer date.
What if the departing owner owns other units in the HOA?
A transfer only affects the specific unit being sold. If the departing owner also has membership in another unit, they retain access to the HOA for that unit. They are removed only from the unit listed in the transfer.
Is there a deadline for recording a transfer?
There is no system-enforced deadline. The board enters the actual sale or closing date when recording the transfer. It is good practice to record the transfer promptly after closing so the new owner can access the HOA without delay.
