Configure your HOA and account preferences
What sections are in Settings?
Settings is divided into several sections:
- General — HOA name, mailing address, unit count, formation date, and fiscal year start month. President-only.
- Email — HOA email address (slug) configuration and personal forwarding toggle for board members.
- Profile — Your name and phone number. Available to all members.
- Billing — Plan and subscription management. Accessible to the President and Treasurer.
Who can change what?
| Setting | Who can edit |
|---|---|
| HOA name, address, unit count, formation date, fiscal year | President only |
| HOA email slug | President only |
| Email forwarding toggle | Each board member for their own account |
| Profile (name, phone) | All members |
| Billing and subscription | President and Treasurer |
Regular members (owners) can view their own profile but cannot change organization-level settings.
How do I update general HOA information?
Go to Settings → General. As President, you can update:
- HOA name — the display name shown throughout the app.
- Mailing address — the HOA's official address.
- Number of units — the total unit count for the community.
- Formation date — when the HOA was formally established.
- Fiscal year start month — used for financial reporting and calendar alignment.
Save your changes with the Save button. These updates take effect immediately across the app.
How do I set up or change the HOA email address?
Go to Settings → Email. The email slug is the part of your HOA's address before @hoamail.app. For example, a slug of clover-on-densmore creates the address clover-on-densmore@hoamail.app.
Slug rules:
- 3–40 characters
- Letters, numbers, and hyphens only
- No spaces or special characters
To change an existing slug, enter the new value and save. The old slug will continue to receive email for a period before it is released. Once the transition window closes, emails sent to the old address will not be delivered.
How do I control whether HOA emails are forwarded to my personal inbox?
Each board member can independently enable or disable forwarding. Go to Settings → Email and toggle Forward inbound emails to my personal email. When on, a copy of every email sent to the HOA address is also delivered to your personal email account. Turning it off stops new forwards — it does not affect emails already forwarded.
This setting is individual. One board member's forwarding preference has no effect on the others.
How do I update my profile?
Go to Settings → Profile. All members can update their display name and phone number. Changes are saved per-user and are visible to other members where your name appears in the app (such as meeting RSVPs and member lists).
Where do I manage billing and the subscription plan?
Go to Settings → Billing, or navigate to the billing page from the dashboard. The President and Treasurer can view the current plan, update payment information, and manage the subscription. Other roles do not have access to billing details.
